The Brief

We were challenged to explore how AI-integrated features could help teams have better disagreements in Miro. To understand the problem, we took part in a role-playing scenario. Representing stakeholders with conflicting priorities, we had 45 minutes to reach a strategic decision.

Challenge: How might AI help teams understand different perspectives and move forward—without deciding who is right?

My role - Project Manager

As Project Manager, I planned the 48-hour sprint and supported the team through each stage. I:

  • Structured the workflow and timeline
  • Assigned and followed up on tasks
  • Facilitated discussions and alignment
  • Kept the team focused on the deadline
  • Helped turn our insights into one clear concept

Approach - Double Diamond

Using the Double Diamond, we moved from experiencing the conflict to identifying a product opportunity. We:

  • Collected individual observations from the scenario
  • Grouped them into eight key themes
  • Defined the need for a neutral facilitator
  • Explored and prioritised possible AI features
  • Developed one concept through rapid sketching

Key insight: Teams do not need AI to make the decision. They need AI to structure the conversation and make every perspective clear.

Result

We created All In, an AI-facilitated roundtable for teams experiencing conflict. Each person speaks in structured rounds while the AI:

  • Gives everyone equal space
  • Summarises and clarifies perspectives
  • Identifies shared ground and unresolved tensions
  • Records context from previous sessions
  • Creates a shared understanding document

The AI is not a judge. It acts as a neutral facilitator and translator. Progress indicators and shared milestones make movement toward resolution visible—without rewarding anyone for being “right.” The steps are the following:

Session Setup

HR (or facilitator) creates an All In roundtable within the Miro board and sets the parameters: Topic of the conflict, Number of rounds, Time per round, Anonymous mode (on/off). They then invite the participants.

The facilitator then adds the participants and begins the session.

Participants join the All In session and are placed around the virtual table.

Round 1 Begins — Individual Input

Each participant, one at a time, receives a prompt generated by the AI based on the session topic. They can respond in their preferred format: 🎤 Voice ✍️ Written input.

Participants expand the question tab and answer by typing or voice note. Sending an answer confirms their contribution.

After answering, all participants return to the table and confirm they’re ready before the next round begins.

Reflection & Learning

This sprint showed me that effective project management is not only about deadlines. It is also about creating a process where different perspectives can be heard while keeping the team moving forward. I also learned that AI can be valuable without replacing human judgement—it can create structure, clarify communication and support better collaboration.
